Mailing Characteristics

Characteristics for the entire mailing are entered here. Some fields may automatically be populated based on preference settings. Fields may also be populated if creating a new mailing from a Template, from a Mailing Plan or applied from a Mailing Folder Template. This is the second section to enter when you describe your Mailing.
Reminder: Changes to the Mailing Characteristics apply to the entire mailing � including all existing Mailing Pieces (those imported from a Mailing Plan or newly added).

Customer Reference: optional (maximum 12 characters)
This reference will display on the invoice.

Co-packaged enclosure in Publications Mail: select if this mailing is included with a host publication in a Publications Mailing. Co-packaged items are processed as if they are mailed separately and must be entered on separate Statements of Mailing.

Address Accuracy: optional. Enter the Address Accuracy percentage if applicable. (up to 3 numeric and one decimal digit, maximum 100.0) This is a Canada Post-determined rate based on your Statement of Accuracy (SOA).

Expiry Date: required if an Address Accuracy percentage is given.

Meter at full price: enabled when Method of Payment is Meter. Select this checkbox to allow the system to determine the exact price for each piece of mail and meter each item using this full rate. The metered rate is the rate of postage on the meter impression attached to each piece of mail being deposited. If you do not check this box, the metered rate for each piece of mail will be calculated at the rate of the lowest priced piece and you will be invoiced for any additional postage.

Delivery Mode Code: optional. This will be populated when you have imported a Mailing Plan. (1 alphabetic digit) A new version of the NPS data is provided by Canada Post every month and reflects the most current changes to the delivery routes.

Mailing Type: select one of the options.

  • Full Mailing - One Deposit select if entire mailing is deposited at one time at the same location.
  • Partial mailing - Details Unknown select if the mailing will be deposited in multiple shipments over one or more days (within 7 days) and you do not know the details (i.e. overall Number of Deposits, Date of Deposit and Deposit Number)
  • Partial mailing - Details Known select if the mailing will be deposited in multiple shipments over one or more days (within 7 days) and you know the details (i.e. overall Number of Deposits, Date of Deposit and Deposit Number)
  • Downstream Deposits select if mailing will be deposited in multiple locations.
    Pieces Size: select one of the options.
    Note: Only one Pieces Size is allowed per Statement of Mailing. All Mailing Pieces must have the same size.

    The size selected determines the Preparation options available.
  • Standard mail items measure no more than 245 mm in length, 156 mm in width and 5 mm in thickness. A Machineable Standard Personalized Mail item weighs no more than 50 g and a Special Handling Standard Personalized Mail item weighs no more than 100 g.
  • Mini-catalogue is a print piece that features a list of items for sale and includes item descriptions, item numbers and/or prices. It must contain a minimum of eight pages or panels, and meet the Machineable Standard Personalized MailTM service requirements.
  • Oversize: are mail items that weigh no more than 1.36 kg and measure no more than 380 mm in length, 270 mm in width and 35 mm in thickness. Large Oversize items must be flexible i.e. items can be bent to fit inside a Community Mail Box (CMB). Rigid mail items that cannot bend cannot be bigger than 300 mm in length, 130 mm in width.
  • Dimensional: are mail items that weigh no more than 1.36 kg and measure no more than 300 mm in length, 130 mm in width and are between 35 mm and 55 mm in thickness.

    Note: the Pieces Size field is disabled when any Mailing Piece is generated from an imported Presort Mailing Plan.

    Note: Modifying Pieces Size affects the entire mailing including newly added or existing Mailing Pieces. If you change a Pieces Size and a newly added or existing Mailing Piece is compatible the Mailing Piece will be modified when you Update. If a Mailing Piece Preparation option is not compatible with a Pieces Size you will receive a warning message that the Mailing Piece will be deleted.
